Work out your staffing usage
Your staffing usage can change during the year. You can plan staffing usage for your school through the year to allow for changes in your school. For example, a primary school might plan to underuse its entitlement at the start of the year. The school could then hire new staff late in the year when more students have enrolled.
How to calculate your staffing usage
We calculate banking staffing using full-time teacher equivalents (FTTEs) on a fortnightly pay period basis.
You can work out the FTTE number for each staff member using our calculation. For example, a full-time teacher will equal 1 FTTE. The easiest way to confirm the number of days paid is to check your 'staff usage and expenditure' (SUE) report in Education Payroll (EdPay).
[Days worked in a pay period] ÷ 14 × Employment %] = [Usage]
If you are unsure what the employment percentage should be, use the FTTE conversion table.
FTTEs are calculated differently for relief teachers and permanent/fixed-term teachers working additional hours. 5 hours of work is equal to 0.1368.
[Hours worked in a pay period] ÷ 5 × 0.1368 = [Usage]
Use our modelling spreadsheet to plan your staffing usage for the year. This can help you to predict potential future scenarios. For example, you can work out what will happen if you change the coding of an existing teacher.
Holiday capping
Teachers get 30% holiday pay based on their service in the current school year. This does not include holiday periods. We cap holiday pay in the first 3 holiday periods to make sure schools are not disadvantaged by terminations during the year. The holiday usage we apply is:
- Term 1: no holiday pay charged.
- Terms 2 and 3: maximum 14-day charge.
- Term 4: no capping applied.
